We’re a fast-growing Series A startup backed by over $25M+ in funding by top-tier investors like Quiet Capital, Shine Capital, and General Catalyst. We’re looking for a world-class Executive Assistant (EA) to help our executive team and CEO operate at maximum leverage.

Role Overview

We’re hiring an Executive Assistant who will serve as a trusted right hand to our executive team, helping ensure our time, energy, and focus are maximized by taking ownership of day-to-day administrative, operational, and personal tasks.

This role is for someone who thrives on being indispensable: highly detail-oriented, thoughtful, proactive, fast to respond, and willing to handle everything from high-stakes scheduling to essential day-to-day tasks with professionalism and precision.

Key Responsibilities

  • Calendar & Scheduling: Manage complex scheduling across multiple time zones for internal/external meetings, interviews, investor calls, team offsites, and personal commitments.

  • Meeting Prep: Ensure our executive team and CEO are fully prepared for every meeting (agendas, briefing docs, candidate profiles, decks, logistics).

  • Hiring & Onboarding: Assist with scheduling interviews, candidate coordination, and ensuring new employees have laptops, accounts, and onboarding resources.

  • Operations Support: Run payroll, send invoices, process wires, deposit checks, and manage recurring finance/admin workflows with accuracy.

  • Back-office & Team Support: Coordinate company merchandise, office supplies, and ensure equipment and facilities maintenance needs are met.

  • Events & Logistics: Book flights, hotels, dinners, and team outings; secure reservations; manage itineraries.

  • Vendor & Landlord Communications: Act as point of contact with landlords, service providers, and vendors.

  • General Task Management: Proactively take ownership of miscellaneous tasks, keeping things from falling through the cracks.

What We’re Looking For

  • 3+ years as an EA, chief of staff, or in a high-responsibility administrative role (prior startup experience is a plus).

  • Highly trustworthy with impeccable judgment and discretion.

  • Obsessive attention to detail – you double-check everything and aren't one to make careless mistakes.

  • Comfortable with both high-level work (board materials, PR comms, sales and marketing materials) and day-to-day tasks (ordering supplies, coordinating calendars, scheduling reservations).

  • You're good with people, with strong written and verbal communication skills.

  • Tech-savvy (Google Workspace, Slack, payroll systems, expense tools, HubSpot a plus).

  • Proactive, resourceful, fast to respond, and thrive in a high-velocity startup environment.
