The Role

Parallel Bio is hiring an Operations Manager to keep the Vienna site running at full speed. This is an essential, multi-faceted role for someone who thrives as the connective tissue of a growing team. You will run office operations, partner with HQ on Finance and People operations, and ensure everything from procurement to compliance runs seamlessly.

Responsibilities

  • Office and Facility Coordination: Own day-to-day operations of Vienna site. Keep the office well-equipped and welcoming, ensuring day-to-day needs are covered, support lab facility maintenance in coordination with Research Associates, and take initiative to improve the workspace as the team grows. Organize team-building activities and social gatherings to foster a connected, values-driven culture.

  • Procurement & Vendor Management: Navigate the complexities of biotech sourcing. Manage vendor relationships (local and international), negotiate contracts, track order and shipment status, and ensure inventory of specialized reagents and consumables never hits a bottleneck. Proactively communicate with the team when issues arise.

  • Finance Operations: Serve as local liaison for Vienna-based financial operations. Under direct supervision of US Finance in HQ, support recurring monthly financial close and reconciliation processes, process accounts payable for European vendors, and ensure Austrian fiscal compliance aligns with HQ reporting standards. This includes maintaining expense records, reconciling monthly transactions, preparing quarterly documentation for external accountants, and serving as the local point of contact for financial correspondence.

  • People Operations: Partner with the US People team to execute local talent activities. Lead onboarding for new employees, assist with hiring and internship programs, greet candidates, manage candidate experience, coordinate interviews, and serve as the local scheduling point of contact.

  • Local Representative: Act as the first point of contact with facility landlord, local Viennese authorities (Magistrat), and external service providers, maintaining proactive, positive relationships that keep operations running smoothly.

  • Operational Rigor: Translate high-level goals into daily workflows. Create and enforce SOPs for office management, logistics, and a subset of lab safety operations, ensuring compliance with Austrian standards and regulations where applicable and appropriate.

  • Business Development / Grants (Optional): As bandwidth allows, help establish Parallel Bio's presence in the local biotech environment by identifying relevant grant or fellowship opportunities, supporting applications alongside the Science and Business Development teams, and nurturing relationships that could lead to future partnerships in the EU.

Requirements

  • On-Site Presence: This role requires being on site in the Vienna office full-time five days a week.

  • 5+ years of Operations Experience: You have a track record of managing operations in a high-stakes environment (Biotech or a high-growth Deep Tech startup) and are comfortable navigating ambiguity under compressed timelines.

  • Local Fluency: Professional fluency in German and English is required. You can navigate Austrian labor laws and technical norms (ÖNORM) while communicating effectively with global leadership.

  • Fiscal Fluency: You are highly proficient with Google Sheets/Excel, general accounting terms, IFRS accounting standards, and VAT (Umsatzsteuer). You are detail-oriented and disciplined with data and budgets.

  • Execution with an Ownership Mindset: You don't wait for a manual. You see a gap in workflow or a facility issue and fix it. You proactively identify and implement process improvements before problems become obstacles.

  • Strong Communicator: You write and speak clearly and confidently. You can translate operational details into concise and salient updates for diverse audiences, whether drafting vendor contracts, coordinating with external accountants, or presenting to global leadership.
