WindBorne Systems is supercharging weather forecasts with a unique proprietary data source: a global constellation of next-generation smart weather balloons targeting the most critical atmospheric data. We design, manufacture, and operate our own balloons, using the data they collect to generate otherwise unattainable weather intelligence.

Our mission is to eliminate weather uncertainty, and in the process help humanity adapt to climate change, be that predicting hurricanes or speeding the adoption of renewables. We are building a future in which the planet is instrumented by thousands of our microballoons, eliminating gaps in our understanding of the planet and giving people and businesses the information they need to make critical decisions. WindBorne is growing quickly, and with that growth comes increasing operational complexity. We are looking for a Business Operations & Administration Coordinator to help build, maintain, and scale the operational infrastructure that keeps the company running. This role serves as a force multiplier for the broader Business Operations team and will own many of the systems, workflows, and administrative functions that support employees, candidates, vendors, and leadership across the company.

This is an ideal role for someone who enjoys creating order from chaos, building repeatable systems, improving processes, and becoming the trusted owner of important operational functions. Because this role will have access to sensitive employee, compensation, recruiting, compliance, and company information, it requires exceptional judgment, discretion, professionalism, and confidentiality.

Responsibilities

Business Operations & Administration

  • Own and administer a variety of internal operational systems and workflows

  • Maintain records, documentation, databases, and operational trackers across the company

  • Support internal process improvement initiatives and help scale administrative infrastructure

  • Ensure operational processes are executed accurately, consistently, and on time

  • Develop and maintain documentation, standard operating procedures, and internal resources

  • Support cross-functional projects and operational initiatives as the company grows

Employee & Recruiting Administration

  • Administer onboarding and offboarding processes and associated documentation

  • Maintain employee records and support employee lifecycle administration

  • Manage routine administrative tasks associated with recruiting and People Operations systems

  • Support the administration of company software platforms and operational systems

  • Manage routine user provisioning, access requests, recordkeeping, and system maintenance

  • Maintain organized records to support audits, compliance requirements, and operational reviews

  • Assist with the routine administration of compliance, HR, recruiting, and business operations systems

  • Help maintain operational documentation, internal resources, and administrative workflows

  • Support the execution of recurring company processes and operational initiatives

Executive & Company Operations Support

  • Provide calendar and scheduling support for key meetings and initiatives

  • Support the company's off-sites

  • Assist leadership with administrative coordination and special projects as needed



Skills and Qualifications

Required

  • 1–4 years of experience in business operations, administration, recruiting coordination, executive support, office operations, HR coordination, or a related field

  • Exceptional organizational skills and attention to detail

  • Strong written and verbal communication skills

  • Ability to manage multiple priorities in a fast-paced environment

  • Strong sense of ownership and accountability

  • Ability to handle sensitive and confidential information with discretion

  • Highly proactive and resourceful problem-solving mindset

  • Strong judgment and ability to operate independently

  • Demonstrated ability to effectively leverage AI tools (e.g., ChatGPT, Claude, Gemini, Notion AI, or similar platforms) to improve productivity, automate workflows, conduct research, create documentation, and solve operational problems

Preferred

  • Experience supporting recruiting operations or employee onboarding

  • Experience administering internal business systems and software platforms

  • Experience working in a startup or high-growth company

  • Familiarity with Google Workspace, Notion, JustWorks, and similar productivity tools

  • Interest in business operations, people operations, recruiting, compliance, or company-building

Salary

  • $75,000–$110,000** We are considering a range of backgrounds and experience levels for this position and adjust our offers accordingly to be competitive with market rates.
